When you provide it to us (e.g. by contacting us) by telephone SMS messaging and email. From the use of our website on completion of application forms. From third parties such as Credit reference agencies

Name, date of birth and place of birth, gender, telephone contact number(s), nationality, national insurance number, period resident in UK, passport and visa details, previous agent/landlord contact details, job title, employers name and contact details, how long in present employment, accountant name and contact details (self-employed), smoker, pet owner.

How we use your information

For administrative and business purposes (particularly to contact you), to fulfil our contractual obligations, to advertise our services, in connection with our legal rights and obligations, to make decisions as to suitability of an applicant based on financial criteria, immigration status.

Disclosure of your information to third parties

Only to the extent necessary to run our business, to fulfil any contracts we enter into with you, where required by law or to enforce our legal rights, registering you with utility companies, e.g. water authority, council tax authority, electricity and gas suppliers, we do not pass your personal information to third party companies, e.g. telephone companies, finance and insurance companies.

How we secure your information

Using appropriate technical and organisational measures such as, storing information on secure servers, encrypting transfers of data to or from our servers using secure sockets layer (SSL) technology, only granting access to your information where necessary.

Use of Cookies and similar technologies

We do not use cookies or any similar information gathering technologies.

Transfers of your information outside of the European Economic Area

We will only transfer your information outside of the European Economic Area (with the exception of the United States of America) if we are required to do so by law. Where we do so, we will ensure appropriate safeguards are in place and that any transfer of your information outside of the European Economic Area (by third parties) have self-certified themselves as compliant with the EU-US. We do not collect information when you browse our website. Should you decide to submit personal information via our on-line application service (access code required) this information will be processed in a sensitive, secure, method and retained for no longer than is required or to meet our legal obligations.

We use a third party to host our website called Tricky Developments who’s server is based in the Republic of Ireland (ROI).

We do not access log data from our website server or our third party hosting provider.

Email: When you send an email to the email address displayed on our website we collect your email address and any other information you provide in that email (such as your name, telephone number and the information contained in any signature block in your email, should that be the case.

Phone: When you contact us by phone we collect your phone number and any other information you provide to us during your conversation with us.

We collect and use information from individuals who interact with particular features of our website, such as the application forms contained in our on-line area which is password sensitive.

Generally we do not receive information about you from third parties. The third parties from which we receive information about you will generally include, licensed credit reference agencies, previous letting agents and landlords.

This section sets out how long we retain your information. We have set out specific retention periods where possible.

From the inception of your tenancy we retain the information that you have provided for a period of six years following the end of the financial year in which you entered into a contract in accordance with our obligation to keep records for tax purposes.

When you make enquiries or correspond with us for any reason, whether by email or via phone contact we will retain your information for as long as it takes to respond to and resolve your enquiry and for no longer than one month, after which point we will delete your information.

In any other circumstances we will retain your information for no longer than necessary, taking into account the following:
